Job description:

Louise is recruiting an Office Manager to lead her constituency team.  The successful individual should have experience of both office and people management.

The role which can be full time or part time includes management of three highly motivated and skilled individuals. In addition to leading the team, the job involves administrative support, active oversight of the team’s work, ensuring the office runs smoothly and advising Louise on critical issues in a fast moving political environment. An excellent understanding and knowledge of politics and how parliament works is essential.

Louise is currently Shadow Secretary of State for Transport with a high media profile. The post holder will therefore need to deal with conflicting priorities, supporting an MP with a national profile, ensuring members of the public and constituency organisations have prompt and appropriate responses, while ensuring a calm and well organised working environment for the team.

You would be responsible Louise’s IPSA budget, including handling any issues related to expenses, and for office security.

This is an exciting role for a natural organiser, leader and communicator with an interest in politics and Sheffield.

This role will be based in Louise’s constituency office in Sheffield Heeley.

Essential skills:

  • Experience of office and people management
  • Proven leadership skills, demonstrating an ability to collaborate with others and proactively enhance their work.
  • Experience of working in a small team
  • A wide range of organisational skills and attention to detail.
  • Good communication skills, including in writing as well as IT skills.
  • Good stakeholder management skills.
  • Sympathetic to the aims and values of the Labour Party.

Desirable skills:

  • Knowledge of Sheffield Heeley constituency.
  • Previous experience of working in a caseworker role, or advising on issues such as housing, welfare rights or immigration is desirable.
  • Driving license and use of own vehicle.
  • Project management

Key responsibilities:

  • Collate all required information from team members to present to the MP.
  • Conduct parliamentary research as required.
  • Deal with security matters, keep abreast of security guidance, maintain the security system, liaise with external bodies as appropriate.
  • Ensure the office is fully equipped and maintained.
  • Exposure and management of complex cases.
  • Have final signoff on all relevant delegated areas from the MP, for example constituent correspondence.
  • Horizon-scanning, anticipate what advice or action may be required; proactively identify problems and resolve them.
  • Identify training opportunities and ensure the office team maintain and develop knowledge of relevant legislation where appropriate.
  • Lead and maintain a highly professional administrative support function for the MP’s office.
  • Liaise with groups/personnel including at Westminster, within the constituency and the general public on the MP’s behalf as necessary.
  • Manage the office team, ensuring accurate personnel records are kept and notifying IPSA of contractual changes as necessary.
  • Overall management of the Member’s diary commitments, delegating tasks to others as appropriate.
  • Plan the MPs internal communications and external stakeholder engagement and provide strategic advice on constituent matters on behalf of the MP where appropriate.
  • Provide high quality, efficient and effective support to the MP and interest groups as required.
  • Responsibility for managing all aspects of the budget, keeping the MP informed of all relevant financial matters, paying bills and liaising with IPSA on office finance.
  • Support and manage the recruitment of staff for the MP’s office.
  • Take ownership of certain casework as required.
  • There may be requirement for the role holder to work outside of the normal working hours, including attending events with the MP as required
